Expecting to graduate this spring? Missed the Jan 19 deadline to submit the Graduation Application? Don't panic! But DO address this ASAP


All students who expect to finish requirements this semester (May 2024 grads) should have filled out the Graduation Application by the Jan 19, 2024 deadline.

 

Oh no! I forgot to take care of this; am I too late??? What now???? 

It's not too late, but at this point, you must petition ASAP for late approval to be added to the list of prospective May 2024 grads.

    Don't delay -- take care of this today!
    Both Barnard and Columbia will use the list of students who have applied to graduate: to generate lists for commencement participation, free cap-and-gown pickup, ticket eligibility, dorm move-out dates, diplomas, eligibility for certain academic honors and prizes, and other essential matters for graduating seniors.  Failure to apply to graduate may jeopardize your ability to participate in Commencement this May and receive your degree on time.

    FAQ: The registration deadline has passed but I still need adviser approval or approval for over 19 credits; what do I do?



    Registered for over 19 credits?
    If you are registered for more than 19 credits and have not received adviser approval, it is especially urgent that you contact your adviser to discuss  (a) getting their permission to drop a class using the online drop process or (b) getting their support and petitioning for after-the-deadline approval for over 19 creditsIf you remain in over 19 credits without approval, the registrar will automatically drop you from your most recently-added course(s).  

    Haven't met with your adviser for schedule approval?
    As a reminder, all students were supposed to meet with their adviser sometime during the first two weeks of classes to get the adviser's sign-off on your final schedule.  If you haven't yet done that, it's not too late, but you should contact your adviser for a meeting ASAP. 

    Argh my prof said I got in off the waitlist but it's after the registration deadline! Oh no; I forgot to add my zero-credit discussion section and now Student Planning won't let me!

     

     

    Can't add something you totally have permission to join because it's the week after registration? In many cases you will need to petition the Committee on Programs and Academic Standing, but in some more straightforward cases, you can submit the Online Add Form, which will allow you to upload confirmation emails from the instructor and your adviser.

    When can I use the Add Form?

    • Add a course (after the course registration deadline) for which you are waitlisted
    • Add a discussion or recitation section
    • Add a lab or zero-point course
    • Add a PE or Dance course
    • Add a short course that has not yet begun
    • Change Sections of a course (eg. section 02 to section 01)
    • Change levels (eg. French II to French I) 

    In all other cases, consult with your class dean about petitioning

    Senior FAQ: I submitted a form online -- how do I know if it was received, reviewed, or approved?

    Did you submit one of the online forms that are available via the Slate for Students website? 

    Wondering how to track its progress, i.e. to see if/when it was received, approved, processed, etc.?

    Here's how to check.

    1. Log into Slate directly or find it on the Barnard Portal under the Academics tab

     
     
     2. In the Home tab of Slate, scroll down to the bottom of the page, to Forms Submitted. There you'll see any forms you have submitted and can track them along their route from submitted to approved and processed. The legend below explains any symbols

    3. That's it!

The CEP and Dean's office for advising and support are here to help you feel less stressed and more confident in your work.     Senior FAQ: can I take 2 classes that overlap?


    Thanks to everyone who suggested we address this important question!

    Short answer: NO
    Even if a class may be recorded, you my not take two classes that overlap, as the expectation is that students will attend classes in-person and synchronously, as there is no substitute for the learning experience of interacting with faculty and fellow students in person and in real time.

    Longer answer: Very occasionally, in very specific circumstances, and by petition only


    Okay; how do I petition?
    Contact your class dean for information about how to petition the Committee on Programs and Academic Standing to take overlapping classes. Once the semester begins, petitions submitted by Thursday will be considered at the following Thursday's CPAS meeting.

    How likely is it that my petition will be approved?
    Such petitions are only rarely approved. Petitions with a greater chance of success will include:
    • Both classes are required (major or general education req)
    • Both can only be taken this semester due to compelling reason like impending graduation
    • Both faculty members are aware of the conflict and support the petition
    • Course overlap is minimal, e.g. 10-15 minutes (including travel time!) once a week.
    • You/your instructors have a plan to make up the missing content which is more than just watching a recording.
    What should I do while I'm waiting to know if my petition is approved?
    • Add a "Plan B" course to keep your options open
    • If you're currently registered for both conflicting classes, stay in them. If your petition is not approved, you will ultimately need to drop one. If you don't drop one, the registrar will drop whichever was most recently added.
    • If you're not registered for both classes, the system will not let you register for conflicting courses, though you may plan or waitlist for a course that conflicts with a registered course. We recommend that you strategically register for whichever course is more important and/or more likely to fill up if you wait.

    DIY Syllabi as Gifts: Kickoff

    In this series kickoff session, where we’ll talk about ways to approach writing syllabi and formatting them like zines, and to start brainstorming what you might want to create! If you like, bring along a syllabus for one of your classes this semester.

    DIY Syllabi as Gifts is a chance for seniors* to explore what makes us excited about learning, what we’ve gained throughout our time at Barnard, and what we really want to teach each other, even as we move on to a world where learning no longer becomes our primary focus. The syllabus idea was born of a dream to keep in touch with learning after college, but and to maintain learning communities with friends, even after we graduate.

    DIY syllabi can be the outlet you've always hope for to share your passion about the Haunted House Novel, The Architecture of Barnard and Columbia, Dendrochronology, Queerness in Shakespearean Performance, Punk History, etc. as well as a building block for staying in touch with those you worry you will miss.

    DEADLINE ALERT "Uncover" grades of P from Fall 2023 by Jan 26, 2024 (the registration deadline)


     

    If you are a continuing student (not a February grad) who elected the p/d/f option for a fall 2023 class, you may now uncover that grade if you like, as long as you do the following by the Jan 26 deadline:

    Note that p/d/f and uncover are now via SSOL, not in the Barnard Portal as in past terms:

    To uncover a grade of P before the registration deadline:

    • Log into SSOL
    • Click on P/D/F grading
    • Click PDF Option Change Request, then "Pass/D/Fail Uncover"
    • That page will contain the elected P/D/F course, then an option to "Request to Uncover".
    • The deadline to uncover grades is the registration deadline of the following semester and appears on the Academic calendar.

    Uncovered grades count towards the one course per term limit, in the GPA calculation and can be applied towards major or minor requirements.  

    REMINDER: Graduating seniors cannot uncover P/D/F grades earned in their final semester.  If a P/D/F’d class is required for their major for a senior to graduate, the Registrar’s Office will automatically uncover the grade as part of graduation clearance.

    Hold preventing you from adding/dropping courses? Here's how to find out where they're coming from so you can address/remove them

    If you logged into Student Planning and got a red pop-up telling you a hold is preventing you from adding/dropping

    you should contact the office that has placed the hold to address it ASAP (even if you don't need to register/add/drop right now, this is still a problem that needs to be resolved before it causes you any future issues!).

    You can find out where any holds are coming from via the Barnard Portal, which will take you to the relevant Slate page as follows:

    1. Log into the portal

    2. Hover your mouse over Academics
     
    3. Then hover over Planning Your Courses
     
    4. Then click Registration Appointment & Holds.  
     
     
    5. This will take you to a Slate page which may ask you to log in with your Columbia UNI before opening. Here you will see any holds as well as a link to a list of all upcoming registration times (more comprehensive than what you see in Student Planning, which just shows your next time, and shows nothing if you log in during a reg time):



     


    Graduating this year? Submit the Graduation Application by THIS FRIDAY, JANUARY 19, 2024

    If you are planning to complete your degree requirements this fall or spring, it’s time for you to apply to graduate!

    ***To have your degree awarded this May you must apply to graduate on or before the January 19 deadline***

    (even if you do not plan to attend commencement ceremonies).

    How?

    Option 1: Find the GradApp from the menu bar at the top of your Barnard Portal. This will send you to Student Planning and Slate to finish the app.



     


    Option 2: Log in directly to Student Planning and access the Graduation Application from the main menu.



     

     

     



     

    If you expect to finish your requirements in Spring 2024, apply for Spring graduation. Your degree will be conferred in May 2024. 


    The deadline to apply to graduate this spring is January 19.




    If you expect to finish requirements in summer 2024, you will have a later opportunity to apply to graduate but should be sure to update your grad date via this Slate form in the meantime: https://slate.barnard.edu/register/chg_ant_deg_date


    After submitting the form successfully, you will see an on-screen confirmation page and receive a confirmation email.


    If you are not planning to graduate this year, please complete this form in Slate so that we can update your record.

    Senior FAQ: why is there a Y on my transcript and why don't I have credit for that class?

     


    Q: My major has a yearlong thesis, and my fall thesis grade is a Y, and I don't seem to have credit for this class. What's up with that?

    A: Not all majors grade the thesis this way, but for those that do (e.g. History, Neuroscience), the Y grade is short for "Year Course" and is a placeholder until you finish the spring semester thesis class.  Since the Y is not a final grade, you don't yet have credit for the fall class, but the Y demonstrates that you're on track and there's nothing to worry about.  

    Once you finish the spring class and the grade is entered for spring, the same grade will join the Y in the fall, so you'll have (for example) YA- in fall and A- in spring, and your transcript will reflect credit for both semesters.  Grades joined with the letter Y will participate in your GPA just like other grades, and if the grade/credit from them make you eligible for the dean's list, that notation will also be added. 

    While the credit for fall Y grades is not yet included in the "total completed credits" on the transcript, the College understands that you have completed this class, and you may safely add these credits to the "total completed credits" number to determine the number of credits you have actually completed as of the end of the fall semester.

    DEADLINE REMINDER: Registration, adviser approval & enrollment confirmation deadline = FRIDAY 1/26/2024

    Don't forget:



    1.  Your Spring 2024 Course Plan in Student Planning must show, in green (i.e. fully registered)all courses that you are taking this semester, including any PE, Dance technique, Varsity sport, Practicum, or rehearsal/performance course for which you will earn credit this semester. Get approval from your adviser if you need to take more than 19 credits.


    2.  If your adviser didn't already approve your schedule in November, they must approve your it now, by clicking "Review Complete" in Student Planning.  Ideally, they will do this during an advising meeting with you. If there are extenuating circumstances making it impossible for you and your adviser to meet until next week, your adviser may click Review Complete upon confirming an appointment day/time with you for next week.  Need advice/approval and can't reach your adviser?  Visit us in the Dean of Studies office!





    Don't forget to drop any classes or waitlists that you no longer need.








    If you are unable to add a course that you know that you're in, or if you are unable to drop a course or leave a waitlist for something you're not taking, please visit or contact the Registrar's office in 105 Milbank, registrar@barnard.edu).






    It is possible that a credit for a P.E. course, Dance technique course, or Varsity sport may appear after the registration deadline (if the course is eligible for credit for the P.E. requirement). If this does not happen automatically, you may need to fill out a form.




    Friday, 1/26/2024 is the last day you may officially add a course
    to your schedule. If you need to add a course to your schedule after that date, you will need to petition the Committee on Programs and Academic Standing for permission to do so (contact your class dean if you need info about this), and a late fee may be charged.




    You may still drop courses until the Drop Deadline (see Academic Calendar for drop deadlines.  To drop a course after 1/26/2024, you will need to meet with your adviser for approval, so your adviser can submit their approval of your drop request no later than 4:30 p.m. on the drop deadline. Find this and all other deadlines on the Academic Calendar and consider adding the Academic Calendar to your gBear calendar.

     

     

    Reminder that there is no separate Enrollment Confirmation process. You confirm your enrollment by (1) registering for classes and (2) paying your bill by the 1/26/2024 deadline. See this blog post for how to tell what kind of hold you may have, and contact the Bursar if you need to discuss your bill.




    **Note about Courseworks/Canvas**
    Until the registration deadline, your Courseworks/Canvas page may not look exactly like your Student Planning page because it takes some time for an added class on myBarnard to appear on Courseworks, and it takes some extra time for a dropped class to disappear. Courseworks will catch up eventually. The most important thing is to make sure that your enrollments are accurate on your Student Planning page.

    Senior FAQ: Do I have to take 12 credits this spring if I'm graduating in May and don't need that many credits?

     

    Short answer: POSSIBLY NOT

    Longer answer: if you can complete all your major and General Education requirements, as well as 122 credits (121 for transfers) with fewer than 12 credits this semester, and do not have any outstanding incomplete coursework from the past, you may request permission to take a minimum of 9 credits in your final semester.

    Per the Barnard Catalogue (emphasis added):

    As of Spring 2022, in their final semester of enrollment, graduating seniors who need fewer than twelve credits to complete their degree – and who have already completed at least four full-time semesters in academic residence – may be approved to take a minimum of nine credit hours. Because Barnard students are charged a flat rate of tuition per semester, reducing one’s course load to nine credits will not change the tuition owed in the student’s last semester. International students must consult with International Student Services in advance to determine eligibility.  Students who meet this criteria and are approved to be enrolled in nine credits are still eligible to live in Barnard’s residence halls. 

    If any student who is not an eligible senior needs to register for fewer than twelve credits for disability-related reasons, they may reach out to CARDS to discuss the reduced course load process at cards@barnard.edu.  

    FAQ:

    What about the Dean's List? Don't I need to be in 12 letter-graded credits to be considered for that?

    Final-semester students who are approved for fewer than 12 credits are eligible for the dean's list if they complete at least 9 credits with the requisite GPA.
